This is the privacy policy for Derby Music Club.

 

General – DATA PROTECTION POLICY

 

Personal data is data which can be used to identify you. If you have any questions about this policy then contact the secretary.

i. The data will be held in order to communicate with members.

ii. The only data that will be held is a membership list comprising: name, current address, home and mobile telephone number, email address, date of joining and whether subscriptions have been paid. Also we will keep the date of birth for juniors so that we know when that person ceases to be a junior.

iii. The data will only be held by the secretary and treasurer

iv. The main risk to this data is it being lost due to computer malfunction. The data will be kept separately by the two officials and they will both back up the data.

v. A reminder regarding the data held and the need to tell officials of any changes will be included in the annual request for subs letter.

vi. If a member wishes to see their data it will be sent to them by email or post. Such requests will be responded to within one calendar month and will be free of charge. We will keep a log of requests.

vii. The data will not be shared with any other organisation. Telephone numbers may be given to other members for the purpose of arranging a concert.

viii. We will hold the data for up to 2 years after the membership has ended.

ix. We will report data security breaches to the ICO within 72 hours from being aware of the breach.

x. Application forms for children must be signed by parent/guardian. 

xi. Changes to this policy will be decided by the committee and can be implemented at any time and will be published on our website. Members will be notified on the following concert programme.
